Every repair, from the tenant's photo to the final cost.
Requests come in with photos, get a priority and an owner, and move to done with a full history. No more repairs lost in WhatsApp threads, and no more arguments about when a problem was reported.
How it works
From report to resolved.
The same five steps for every request, whoever reports it.
- 01
The tenant reports it
From the tenant portal, with photos attached. Staff can log requests too.
- 02
You triage it
Set the priority (low to emergency) and the category.
- 03
It becomes a work order
Assign a vendor or your own maintenance staff.
- 04
Every change is kept
Each status change goes into the request's history, so there's always a record.
- 05
The cost is recorded
Log the repair cost as a property expense linked to the request, for your reports.
From the tenant's side
Reported once, with photos.
Tenants report problems from the tenant portal on their phone and follow each request until it's done. You get the photos up front, before anyone drives out.
Details
Built around how repairs really go.
Small things that save a phone call.
- Priorities that mean something
- Low, medium, high and emergency, so the burst geyser goes before the dripping tap.
- Your own categories
- Plumbing, electrical, security, roofing and more by default. Rename them or add your own.
- Board or list
- See requests as columns (open, in progress, on hold, completed) or as one filterable list.
- Work orders and vendors
- Turn a request into a work order and assign a vendor, including their mobile-money details (Standard and above).
- Appliances
- Record geysers, stoves, pumps and more against a property or unit, with their service history.
- Inspections with photos
- Move-in, routine and move-out inspections with photos attached (Standard and above).
- Power and water on file
- Each property records its power backup (generator, solar, inverter) and water source (municipal, borehole, tanker).
- Costs that reach the reports
- Log repair costs as property expenses linked to the request. Enterprise adds a maintenance-cost report.
FAQ
Maintenance questions.
Not answered here? Email hello@prophaven.co.zw. It goes to the team that builds PropHaven.
Can tenants report maintenance problems themselves?
Yes. From the tenant portal, a tenant can submit a request with photos and follow its status. They can also withdraw a request or reopen one if the problem comes back.
Can I assign work to outside contractors?
Yes. Add vendors with their contact and payment details and assign work orders to them. Work orders and vendors are on Standard and above.
Do tenants see every update?
Tenants see the status of requests they can view, from their portal. Your team's internal handling stays in PropHaven.
